Your invoices go out in your name
A customer is more willing to open a message from an address they know, and finds it easier to reply. With m2m.ma, your invoices go out from your own mailbox, with your logo and your text, and not from an anonymous address. You keep the relationship with your customer, and their replies come straight to you.
You only need to set this up once, in Email sending. Gmail and Outlook have ready-made settings. If you use your own domain name, enter the SMTP server details provided by your host. The password for this mailbox is stored encrypted.
Prepare a standard message
Write the text that accompanies your invoices once. Fields such as the number and the amount fill in by themselves in the message, and you can adapt it before each send if a customer deserves a personal word. You can also choose a reply-to address and a copy address, for example so that your accounts department keeps a record of every send.
Send yourself a test message first to check the result, then move on to your real invoices. The PDF is attached automatically.
- Gmail, Outlook or your domain's SMTP server
- Personalised message and logo
- Reply-to and copy addresses of your choice
- Invoice PDF attached when sending
- History of sends and failures
Know what has gone out
“I never received your invoice” is a phrase you probably know. The history shows who each invoice was sent to, and whether sending failed. If it fails, you see it without waiting for the customer to call, and you can correct the address and send the document again.
This history remains useful later, when you need to check that a document went out on a given date or to pick up the follow-up on an overdue invoice.
What sending by email is not
Sending a PDF invoice by email remains an ordinary exchange between you and your customer. It is not a transmission to the DGI, which is not active at present. If your customer is also a verified business on m2m.ma, you can also choose direct exchange: they receive the invoice as a draft in their workspace, without it going through their inbox.
