For amounts that come round on the same dates
Subscriptions, rents, maintenance contracts, monthly fees: these invoices all look alike, and forgetting them costs you in cash flow. An invoice issued a month late is often a payment received a month late. Recurring invoicing in m2m.ma prepares these documents for you, at the pace you have set.
In Income, open Recurring and create a template. You enter the customer, your usual lines and the frequency: every month, every three months or every year. You can also set an end date if the contract has a fixed term.
Choose your level of automation
You decide what happens on the scheduled date, template by template. In the most cautious setting, the invoice is created as a draft and you review it before validating it. If the amount never changes, you can turn on automatic validation and sending: the invoice receives its number and goes to the customer without any action from you.
A stable contract and a contract with a varying amount can therefore sit side by side, each with its own setting.
- Monthly, quarterly or annual frequency
- Optional automatic validation and sending
- End date and next due date displayed
- Recurring invoice can be paused at any time
The details that prevent mistakes
A month-end date is respected even when the next month is shorter: a contract invoiced on the 31st does not skip February. For each recurring invoice, you see the next scheduled date, so you can check at a glance what is about to go out. If a contract pauses, you suspend the template without deleting it.
These invoices are invoices like any others: they follow your numbering, go into your accounts when validated and count towards your VAT. When you import your statement, the matching transfers are looked for in the same way.
A simple example
Suppose you provide maintenance for several customers on monthly contracts. You create one template per customer, turn on automatic sending for fixed amounts and keep the draft setting for those that vary. Each month, all you have left to do is review the drafts and check the payments received.
